Book, Collect + Return Gear

Don’t forget to read and understand the Borrowing Policy Agreement, and remember to bring your OneCard when you come to pick up equipment.

If you think you are sick or feeling unwell, stay home and do not come to campus. Contact us, and we will do our best to work with you to reschedule your bookings. The health and safety of the ECU community is important to us.

Book Equipment

Request equipment online, by email, by phone or in person.

If you’re emailing, be sure to use your ECU email and include your full name, ECU OneCard number, program or department, pick-up date and time, and a list of equipment.

Media Resources is located in D1310 on Level 1, by the southeast entrance. Call us at 604-844-3829.

Send your online or email requests at least two days in advance. There are no same-day reservations, but if you need equipment with shorter notice, you can do a walk-in booking. For exhibitions or extended loans, please request at least one week ahead.

Requests received outside our hours will be processed on the next workday. Your booking is confirmed only when you receive a confirmation email from Media Resources. If you don’t see a confirmation, your request hasn’t been processed. Please follow up.

Make sure you’ve completed the Policy Agreement before your pick-up. If plans change, let us know as soon as you can.

Booking equipment for Film + Screen Arts (FMSA)? Please email fmsatech@ecuad.ca or visit fmsasupport.ecuad.ca. FMSA bookings follow separate procedures.

How to Book Equipment for Exhibitions

To request equipment for a show, installation or exhibition, complete the Equipment for Exhibitions Request Form at least one week before your intended pick-up date.

All requests are processed first come, first served and are subject to approval and availability. Be aware that approval may take time.

Equipment requests for The Show (Grad Show) must go through the official process outlined in The Show Handbook. Media Resources does not accept Grad Show requests directly.

You’ll receive a confirmation email once your booking is approved. Until then, your booking is not guaranteed. If you don’t receive a confirmation, your request hasn’t been processed or approved, so please follow up or resend your request. Forms submitted outside of office hours will be reviewed the next workday.

Exhibition loans are limited to All-Access Equipment only. Media Resources does not provide items such as laptops, extension cords, headphones or lighting for shows or installations. For help sourcing these, reach out to the Gallery Techs.

Unless other arrangements have been made, borrowers are responsible for turning equipment on each day and powering it off before campus closes. For safety reasons, equipment should not be left running overnight.

How to Pick Up Equipment

All equipment is picked up at the Media Resources Centre in room D1310 on Level 1. You must be present with your valid ECU OneCard. Arrive on time. The grace period is 10 minutes but missed pick-ups may be cancelled, so please contact us in advance if you’re running late.

We have a side table where you can check that your equipment is complete and in working order. Report any missing items, damage or issues before you leave. Once equipment leaves the Media Resources, you may be responsible for any missing items or issues not reported.

If the gate is closed and you have an appointment, call 604-844-3829 or dial 3829 from any of the black campus phones.

How to Extend Your Borrowing Time

Need more time with your equipment? Call us at 604-844-3829 at least one day before your equipment is due back, or drop by the Media Resources Centre in Room D1310 in person with the equipment before it’s due.

Renewals depend on availability. If the item isn’t available, you’ll need to return it on time.

Film + Screen Arts (FMSA) equipment renewals must go through the FMSA department. Email fmsatech@ecuad.ca or visit their site for details, as their process differs from Media Resources.

We don’t accept renewal requests by email. Late items can’t be renewed and must be returned immediately. If you’re unwell, stay home and contact us to reschedule. For FMSA gear, reach out to FMSA directly.

How to Return Equipment

Return equipment to the Media Resources Centre in room D1310 on Level 1. Unless noted otherwise in your confirmation email, all items are due back by 12 noon on the return date. Late returns may affect your future bookings, so call us at 604-844-3829 if you’re unable to return on time.

Return gear in clean, dry condition with all components packed neatly. Cables should be coiled, and all accessories placed in their proper spots.

How to Return Equipment After Hours

You can still return equipment even when Media Resources is closed. Call Campus Security at (604) 844-3838 or dial 3829 using any of the black phones in the hallway. Security will meet you at our side door to let you in.

Place equipment on the return shelf. Ideally, place small items on the upper shelves and place big or heavy items on the lower shelves. If you are returning a cart as well, you can leave large or heavy items on the cart.

For safety reasons, please do not block the aisles or the doorway. Make sure to leave space for others to safely access the return shelf.

For smaller items like chargers and animation pens, you can use the Return Slot next to the side door, around the corner from our main entrance gate.

If you are returning an item without a label, number or a barcode, please attach a note with your name and ECU OneCard number.

Make sure equipment is returned properly: complete, clean and dry, with cables properly coiled, and each component or accessory are neatly placed in their respective places.

After Hours Return is only available until 10pm, and there is no After Hours Return when campus is closed. Make sure to contact Campus Security ahead of time to allow enough time to return the equipment. Security will not allow you to return equipment after 10pm. Missing this window may result to penalty or fines.

Never leave equipment unattended or give to someone other than Media Resources staff. Never slide equipment under our front gate or side door.

How to Request an Extended Loan

Extended loan requests may not be approved due to availability, security or other restrictions. To apply, email mediaresources@ecuad.ca from your ECU account at least one week in advance.

Include:

  • Your full name and ECU OneCard number
  • Program or department
  • Pick-up and return dates
  • Equipment list
  • Project description
  • Reason for extended loan

Requests are first come, first served and subject to approval, which may take time. Requests sent outside office hours will be reviewed the next workday.

Your booking is only confirmed once you receive a confirmation email. If you don’t receive one, your request wasn’t processed or approved. Please follow up.

Extended loans apply to All-Access Equipment only. For restricted equipment, contact the relevant department. In some cases, insurance may be required.

Loans between or beyond semesters, such as over Winter or Summer breaks are not permitted.
